Pre-Canvassing Activities
Determine County Action Team Leaders:
  • Organizer – Schedules, sign up and maintain team communications, work with other leaders to make sure everything is ready
  • Logistics – meeting place, teams’ coordination if call center, team coordination (group text)
  • Accountant – collect and maintain affidavits, reconciliation affidavits with database results, prepare the presentation of statistics to share at County Board Meetings, Prepare team working with county employees on Voter Registration Errors, Lost Votes, Ghost, Phantom Votes
  • Walking List Leader – assignments, safety and security
  • Technology Lead – Database testing and troubleshooting technology questions
  • Review team – Actions for the next County Board meeting – script, any resident testimony, follow up outreach as necessary

  1. Determine meeting location (Church or American Legion have been receptive)
  2. Sign-up sheet with Name, Number, E-mail, City and availability AM/PM (Door to Door/Phone Screening/Admin Support)
  3. E-mail the group throughout the week on updates (weather, changes etc.)
  4. Night before e-mail everyone the logistics (charge mobile devices and appropriate dress)
  5. Prepared the 3 ring binders, walking maps, additional printed forms, clip boards, pens, etc.
  6. Printed "Release of liability forms” (for Foot Canvass)
Day of Canvassing Shift (usually 2-3 hours)
We learned that Sat & Sun were best for Foot Canvassing
  1. Each Person to check in and verify Information on Roster
  2. Each person completes a “Release of Liability Form” (Foot Canvass)
  3. Organize teams of two persons (no two men, physical ability, safety)
  4. Review the canvassing app (one canvasser with app)
  5. Review binder information page by page
  6. Share examples and proper way handling different situations
  7. Assign walking maps/lists
  8. Test a Group TEXT message so teams can communicate
  9. Ended the day recap as a team.
    • Debrief, round robin so that folks can share their experience.
    • Database manager (if available) will join on conference call to provide preliminary results of the day.
      • Number of addressed stopped at who completed the survey
      • Number of addressed stopped at where there was no answer
      • Number of residents that had irregularities / anomalies
  10. Team Leader/Accountant collects all affidavits for recording & secure storage
  11. After the event, review the affidavits against the information in the database for clarity of the evidence. Then Log the affidavit in the Affidavit Excel or electronic record keeping.
  12. Use the evidence to speak at the County Board Meeting, we’ve been ADVISED "do not provide the affidavit without Attorney Consultation".
